Individual Athlete Coverage Terms & Cancellation Policy
Thank you for choosing ITM Photos for your athlete’s game-day photography. My goal is to provide a professional, enjoyable experience while creating images your family will treasure for years to come.

Please review the following terms before booking Individual Athlete Coverage.
Booking Requests
Submitting a booking request does not guarantee coverage.
​
All requests are subject to photographer availability and will be confirmed by ITM Photos via email or text message.
​
Coverage is considered reserved only after you receive a booking confirmation.
Payment
Payment is due prior to the scheduled event unless other arrangements have been made in writing.
​
Digital image downloads, prints, and products are subject to the pricing listed at the time of booking.
Arrival & Coverage
ITM Photos will arrive in sufficient time to photograph warmups whenever possible.
​
Coverage includes your athlete throughout the scheduled game or event. While every effort is made to focus on your athlete, sports are unpredictable and certain moments may occur outside the photographer’s view or be obstructed by officials, coaches, players, equipment, or spectators.
​
Because of the nature of live sports, no specific number of photographs can be guaranteed.
Playing Time
ITM Photos cannot control coaching decisions, substitutions, injuries, disqualifications, weather delays, or an athlete’s playing time.
​
If an athlete has limited participation during the game or event, photographs will be captured whenever opportunities are available, including warmups, sideline moments, coach interactions, celebrations, and other appropriate moments.
​
Refunds will not be issued due to limited playing time.
Weather & Schedule Changes
Outdoor sports are subject to weather and other unforeseen circumstances.
​
If a game is postponed before coverage begins, your reservation will be transferred to the rescheduled game whenever reasonably possible.
​
If a game is canceled and no makeup date is scheduled, your payment may be applied toward another game during the same season, subject to availability.
​
If weather or other circumstances cause a game to end after coverage has begun, photographs captured before play was suspended will be edited and delivered. No partial refunds will be issued for games shortened after coverage has started.
Cancellation Policy
By the Client
Cancellations made 72 hours or more before the scheduled event may be rescheduled or refunded.
Cancellations made less than 72 hours before the scheduled event may not be eligible for a refund because the date has been reserved exclusively for your athlete.
Exceptions may be considered for verified medical emergencies or other extraordinary circumstances.
By ITM Photos
If ITM Photos is unable to provide coverage due to illness, emergency, equipment failure that cannot reasonably be remedied, or other unforeseen circumstances, every effort will be made to reschedule the coverage.
If rescheduling is not possible, any payments made for coverage will be refunded in full.
Gallery Delivery
Professionally edited online galleries are typically delivered within three business days after the event.

Delivery times may occasionally vary during periods of unusually high demand.
Image Selection & Downloads
Depending on your selected package, digital downloads are included as described during booking.
​
Additional digital downloads, prints, and products may be purchased directly through your online gallery.
​
Purchased digital images are provided for personal use.
​
Commercial use, resale, publication, or redistribution is prohibited without written permission from ITM Photos.
Copyright
All photographs remain the copyrighted property of ITM Photos.

Purchasing digital downloads provides a personal-use license and does not transfer copyright ownership.
Model Release
Unless otherwise requested in writing before the event, the client grants ITM Photos permission to use photographs from the session for portfolio display, website galleries, social media, advertising, competitions, and promotional materials.
​
If you prefer that photographs of your athlete not be used for promotional purposes, please notify ITM Photos prior to the scheduled event. That request will be respected.
Limitation of Liability
Every reasonable effort will be made to produce high-quality images and preserve your photographs.
​
In the unlikely event that photographs are lost, damaged, or cannot be delivered due to circumstances beyond reasonable control, liability shall be limited to the amount paid by the client for the Individual Athlete Coverage.
